How we handle your personal details
What we collect when you call, WhatsApp or email us, why we need it, who sees it and how you stay in control. This notice follows Sri Lanka's Personal Data Protection Act No. 9 of 2022.
In short
We collect only what we need to quote, supply, service and invoice your fire safety equipment. We never sell your details. This website sets no tracking cookies and uses no analytics. To ask what we hold about you, email us.
Who is responsible for your data
SafeZone Fire Company, 159/Bokkaramullagoda, Uluvitika, Galle, decides how and why your personal data is used. Under the Act, that makes us the "controller". We have no separate Data Protection Officer, so privacy questions come straight to us. The box below shows our address, contact details and business registration number (Reg. No.), so you can check who you are dealing with. They match our contact page, and the registration number is also printed at the foot of every page.
SafeZone Fire Company: details and registration number

What we collect
We only collect what you give us when you call, WhatsApp or email us, or what we note down while we work at your premises:
- Your name and contact details: phone or WhatsApp number and email address.
- Addresses: yours, and the address of the premises we supply or service.
- Details of your premises and equipment: what the place is used for, the extinguishers you have (type, size, label details, service dates), and any photos you send us.
- Invoices: what we supplied or did for you, when, and the amount invoiced.
- Your messages: the WhatsApp messages and emails you send us stay in our WhatsApp and email accounts.
We don't need sensitive details, such as health or religious information, to do our work, so please don't send them.
Why we use it, and on what legal basis
| What we use it for | Legal basis |
|---|---|
| Giving you advice and a quote | Steps you asked us to take before we agree the work |
| Supplying, installing, refilling and servicing your equipment, and training your staff | Our contract with you |
| Invoices and business records | Our contract with you, and our legal duty to keep business records |
| Service reminders when equipment we supplied or serviced is due for a check, refill or service | Our legitimate interest in keeping your equipment ready for use, which you can expect as our customer. You can ask us to stop at any time. |
| News about our services and other marketing messages | Your consent, and only if you give it. You can withdraw it at any time. |
We don't use automated decision-making or profiling.
A service reminder tells you that your equipment is due for the kind of check or service described in our maintenance schedule. It is about your equipment, not a sales offer, and we keep reminders separate from marketing.
Do you have to give us your details?
No. But without your name, a phone number and the address of the premises we can't quote, deliver, visit or invoice you. Saying yes to marketing messages is always optional and makes no difference to our service.
Who sees your data
We never sell your personal data, and we don't pass it to other businesses for their own marketing. It is seen only by:
- Service providers who run our tools, such as our email provider and our website host. They handle data for us, only to provide their service.
- WhatsApp (owned by Meta), when you choose to message us on WhatsApp. Your messages pass through WhatsApp's service and its own privacy policy applies to them too.
- Public authorities, only when the law requires us to share something, for example tax records.
Storage outside Sri Lanka
Our email, website and messaging providers run their services on computers that may be outside Sri Lanka, so your data may be stored or processed abroad. We stay responsible for it under the Act wherever they store it.
How long we keep it
- Quotes, messages and equipment details: as long as we need them for the work, and while we look after your equipment.
- Invoices and business records: as long as the law requires us to keep business records.
- Marketing consent: until you withdraw it. After that we keep only a note that you said no, so we don't contact you again.
When we no longer need your data for any of these reasons, we delete it.
Your rights
You can ask us to:
- See the personal data we hold about you.
- Correct anything that is wrong or out of date.
- Delete your data, where the law allows. We can't delete invoices and records we must keep by law.
- Withdraw your consent to marketing messages. This doesn't affect anything we did before you withdrew it.
- Stop marketing: object to marketing messages at any time, and we stop sending them.
Tell us what you want
Email us, or tell us when you call or WhatsApp. Say which of the requests above you are making.
We check it is you
We may ask you to confirm a few details, so we never hand your data to someone else.
We reply
We tell you what we have done, or why we can't do part of it, for example a record the law makes us keep.
About the law
The core duties of the Personal Data Protection Act No. 9 of 2022 apply to businesses from 1 January 2027. As of October 2026, some parts, including the sections on individual rights, are still waiting for a start date. You can already make the requests above.
Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Data Protection Authority of Sri Lanka.
